You in this role

Reporting to the Manager- Client Support Services, the Data Coordinator is responsible for providing operational and analytical support to the Green Municipal Fund’s Client Services, Funding and Investments unit.  

Key functions of this role include supporting the unit’s operational and financial reporting, including annual reporting and requests for data analysis for strategic or auditing purposes. Tasks include training and onboarding new staff to the CRM, developing new dashboards with the goals of enhancing business intelligence for data-informed decision making, ensuring data mapping is up-to-date and traceable to critical fields in the CRM and linked to auditing and reporting requirements, supporting the analysis for the preparation of recommendations for funding presented to GMF council and working on continuous improvement projects related to data governance. 

As an active member of GMF’s CSFI unit, the incumbent will take part in various departmental initiatives and support FCM’s overall role as a national leading municipal association aimed at strengthening local capacities and enhancing governance.  The Data Coordinator supports the development and delivery of data visualizations and key performance indicators results through data mining and reconciliation, research of new opportunities and tools in data management, and review and analysis of unit reports.

 

What you’ll be doing

Reporting and Data Management

  • Monitors progress of unit’s key performance indicators through automated reporting development and ensuring data accuracy and reliability. Types of reports: operational cycle time and service standards, outreach activities, grants and loans applications and pipelines, contracts, disbursement forecasting, council memo process, regional balance, urban/rural balance, financial targets, etc.
  • Supports the management and analysis of quantitative data to identify results and trends that can be used for the advancement of GMF programming through monthly, quarterly and annual reporting and management of dashboards
    Supports the implementation of existing reporting tools using dataverse and PowerBI and creates new tools, 
  • Responsible for ensuring critical data points are included in GMF’s Grants and Loans Management System and mapped to CFS operational reporting 
  • Supports the funding team with the council memo preparation process (monthly)
  • Maintains data for disbursements reporting     
  • Supports creation of visual representations of program data and results (e.g., graphs, charts, maps, etc.).
  • Supports staff training on the use and interpretation of information systems, data management and input of CSFI dashboards and reports.
  • Prepares and supports all visual content and historical key performance indicator analysis in the preparation of CSFI materials for GMF’s governance bodies (e.g., internal and external committees, boards), including memos and presentations.
  • Supports the auditing and remediation of CSFI related data in CRM to ensure quality and integrity in all systems
  • Liaises with the IS Team on all data platform upgrades, migrations, new product implementation and training initiatives.
  • Coordinates the preparation of information related to Client and Client and Funding Services activities for annual strategic and external reports.
  • Supports data management processes during cloud development and launch of new program activities through UAT and data integrity testing[CG1] [MT2] 
  • Supports data quality and integrity activities for GMF’s projects database, such as ensuring that client-facing data is complete and accurate (for example, census data and project completion dates)

Continuous Improvement

  • In collaboration with key internal stakeholders, supports best practices and business processes within data management and reporting with the objective of achieving operational excellence and enhanced business intelligence.
  • Creates and continuously supports improvement of ashboards and reports.
  • Supports the development of GMF products, including presentations and project profiles. [CG3] 
  • Participates in cross-program or cross-department initiatives within FCM
  • Ensures SOP for reporting is accurate and up to date
  • Ensures data mapping documentation is accurate and up to date

 

Your skills make us better 

You bring:   

 

  • University degree in a related field (public or business administration, economics, applied science, communications etc.).
  • A minimum of three years of progressively responsible experience in monitoring, data analysis, project management, communications, and/or managing program activities, including experience in planning and reporting processes.
  • Knowledge of impact measurement and evaluation using a broad range of both quantitative and qualitative tools and methods is considered an asset
  • Demonstrated experience in designing and conducting research studies, and strong analytical skills such as quantitative analysis (including statistics), computer skills and qualitative analysis (including developing surveys and polls) are essential. 
  • Demonstrated experience in managing data with data/information management techniques and the use of databases is required.  
  • Previous exposure to knowledge management and activities (e.g., researching existing knowledge tools, organizing resources, identifying gaps in existing knowledge tools, mobilizing tools and resources and developing guides) considered an asset. 
  • Experience with data modeling and visualization is required. (ex: PowerBI, Dataverse, Microsoft CRM)
  • Excellent interpersonal and collaboration skills with a focus on working across internal teams, and with external stakeholders. 
  • Excellent judgment, problem solving, analytical, research and decision-making skills. 
  • Exceptional customer service skills.
  • Strong attention to detail and accuracy.
  • Proficiency with database languages such as SQL is required
  • Experience producing reports for government-funded projects is an asset.
  • Knowledge of the Canadian municipal sector and experience working with elected officials and/or a Board of Directors are definite assets.  
  • Experience developing and managing surveys is an asset.
  • Understanding financial concepts is an asset.
