You in this role

The Coordinator, Green Municipal Fund (GMF) provides direct administrative and operational assistance to a dedicated unit within the Green Municipal Fund as well as providing support to the unit’s team to design, coordinate and implement cross-unit initiatives resulting in greater organizational efficiency. Key responsibilities include providing comprehensive and efficient administrative support, including monitoring calendars and daily schedules, developing and managing contracts, assessing priorities, coordinating and supporting meeting and event logistics, taking meeting minutes, organizing staff and external stakeholder meetings/retreats, etc. The future of work at FCM includes FCM becoming an even more member-driven organization that balances the realization of its goals with a people-centred approach. What you’ll be doing

 

  • Leads organization lifecycle projects (design, coordination, and implementation) with the direction of their leader.
  • Supports their unit in designing and delivering inter-departmental and cross-departmental projects related to organizational risk management, internal communications, audit and evaluation, corporate climate reporting and organizational effectiveness.
  • Supports the development and monitoring of their unit’s annual performance and develops reports in Power BI.
  • Analyses and develops evaluation reports of specific Unit initiatives (as needed). 
  • Documents standardized operating processes and develops training materials, and other documents as needed to enable successful implementation of new processes, workflows and systems. The incumbent works with their peers in other units to validate the processes gaining buy-in and support for implementation.
  • Establishes and maintains relationships with third parties/vendors overseeing contract implementation. 
  • Coordinates team activities (scheduling of weekly/quarterly team meetings, planning retreats, coordination of team building activities, booking of rooms/venues, maintaining rolling agenda, note taking, file management, software subscriptions, etc.). 
  • Provides administrative support to meet operational needs of the teams (oversees the development and amendments of contracts and verifies, codes, and processes invoices and expense claims, ensuring FCM financial guidelines and any terms of contracts are respected). 
  • Coordinates all travel, meeting, and conference logistics. Prepares relevant materials and tracks expenditures in relation to travel and meeting logistics. 
  • Verifies, codes, and processes invoices, Visa statements, and expense claims. Ensures financial guidelines and any terms of contracts are respected. Supports Senior Leader in Unit with budget entries and tracking of expense claims and other budget items. 
  • Provides back-up support to the other GMF Administrative Teams[LM2] [LM3]  as required. 
  • Works with the GMF Administrative Team to ensure appropriate integration, cohesion, efficiency and compliance with FCM’s or GMF’s administrative policies and procedures. 
  • Represents their Unit in various FCM working groups and committees related to the respective mandates. 
  • May be called upon to undertake projects or other administrative duties as needed.

You bring:   

 

  • Post-secondary education or equivalent work experience in administration, project management or a related discipline.
  • Strong oral and written communication skills are required including presentation skills.
  • Experience acting as the main project manager on small projects considered a strong asset
  • Minimum of 5 years of experience providing support in a fast-paced, client-service oriented work environment.
  • Knowledge of business support processes, tools and administrative management practices and procedures are strong assets
  • Proficient in the use of Microsoft Office software suite.
  • Familiarity with Enterprise Resource Planning software and/or Enterprise Risk Management frameworks are considered assets.
  • Very strong organizational and interpersonal skills.
  • Demonstrated ability to navigate and manage multiple, and at times conflicting priorities.
  • Strong attention to detail and accuracy.
  • Thrives in both a team and independent working environment with limited oversight and guidance.
  • The ability to work in both official languages is a strong asset.
