You in this role

Reporting to the (GMF) Manager, Performance Measurement and Reporting, the Data Coordinator is responsible for maintaining and improving GMF data management, conducting research using data, and ensuring continuity of up-to-date, relevant information for both internal staff and external audiences. The Data Coordinator supports GMF performance measurement and reporting by aggregating and analysing program and fund-level data using databases containing information on project applications and GMF funded plans, studies, pilot projects, and capital projects. The data is managed within FCM’s Client Relations Management (CRM) system and is the foundation for monitoring performance and reporting results.

Key duties for the Data Coordinator include entering project information directly into the database; managing and updating business processes related to data management; auditing and quality control; producing research using data; working to expand the scope of the database to enhance value; and establishing links to relevant knowledge.

What you’ll be doing

Data Management

  • Provides programming, research, analytical, administrative and logistical support to GMF.
  • Ensures that databases contain accurate, complete, and up to-date information.
  • Ensures that databases meet the needs of the programs, including accessibility of accurate, complete, and up-to-date information.
  • Ensures a high standard of quality control and identifying data inconsistencies or errors.
  • Collaborates with colleagues as part of an internal Data Management Working Group.
  • Liaises with IS, and provides support on data platform upgrades, migrations, new product implementation, and training initiatives.
  • Liaises with program delivery teams to create and produce program dashboard and reports, using Power BI, CRM, and GLMS (Grants and Loans Management System), that support better program delivery, monitoring and evaluation.
  • Manages and analyzes quantitative and qualitative data from the final reports of GMF projects to identify project results and trends that can be used for the advancement of GMF programming.
  • Supports the development of program products, including presentations and project profiles.

 

Database Improvement

  • Contributes to database architecture improvement initiatives to ensure that data collection and reporting is consistent across users.
  • Consults with Monitoring and Evaluation, Program delivery, and Communications staff to discuss opportunities to expand the scope and functionality of databases.
  • Proactively researches, identifies, and recommends opportunities to improve business processes and user experience.

 

Research

  • Supports the development and implementation of research projects related to GMF program enhancement, via best practice scans, information and data management, program impact evaluations, trend analysis, and literature reviews. This includes designing and conducting research, and writing reports; developing work plans, and budgets; developing terms of reference and technical requirements; managing consultants as needed.
  • Works with the GMF Engagement Analyst to plan and deliver stakeholder consultations, focus groups, and surveys engaging with clients and conducting market research to ensure that GMF is aligned with the interests of the municipal sector.
  • Analyzes the results from research activities and develops recommendations regarding strategic issues.

  • Post-secondary education in a related field (public or business administration, economics, applied science, project management, etc.)
  • Strong knowledge gained through demonstrated experience of business support processes and tools, particularly advanced data manipulation, visualization and storytelling skills using Microsoft Excel and PowerBI computer business applications (MS Office suite, including Microsoft PowerPoint), customer-relationship management (CRM) software and database management.
  • Strong attention to detail and accuracy and familiarity with Quality Assurance/Quality Control methodologies to validate datasets.
  • Excellent research and project coordination skills.
  • Strong verbal and written communications skills.
  • Exceptional organization skills, ability to work independently with good initiative and judgement, ability to adapt to changing priorities and manage multiple tasks, and work towards deadlines.
  • Critical thinking skills combined with a proven capacity for hands-on database work.
  • Proven experience as a Data Architect, Reporting Architect, or a similar role with strong understanding of data modeling, data integration, data warehousing, machine learning and reporting concepts
  • Knowledge of continuous improvement methodologies such as Lean is an asset.
