You in this role

The Outreach Coordinator provides direct administrative and operational assistance associated with engaging clients, providing direct client support and technical troubleshooting of online platforms, and provides general support to the Outreach team including leading special projects. 

The Outreach Coordinator, along with support from the team, monitors inquiries and supports guiding applicants and recipients to navigate the program intake process, provides calendar management including setting up team meetings, monitoring the reception of new applications, corresponding with clients, and tracking deadlines. 

In collaboration with the marketing officer, the outreach coordinator also supports the implementation of Outreach’s marketing and promotional activities for Green Municipal Funds (GMF) products and services, specific to adaptation and Community Canopy programs, including coordinating participation of staff, planning budget and monitoring of expenditures.

What you’ll be doing

The Project Officer, Adaptation, Community Canopies:   

  • Support implementation of  outreach strategies to promote GMF and its programs, including identifying and recommending opportunities for participation in trade shows, conferences and events to ensure high visibility and maximize the engagement of municipal governments and partners. 

  •  

    Organise and produces webinars.

  •  

    Provide administrative support to the Manager, Outreach and Outreach team such as data and file management, update project workplans, team meeting coordination, etc. 

  •  

    Support the events team in developing and sharing the event list for the year and confirms all details for program-specific events  

  •  

    Consistently and effectively keep event list updated in Asana and track the progress and deliverables of each of our event participation from the session proposal submission to the post-event form.  

  •  

    Follow up with staff to complete their assigned tasks via Asana and provide support

  •  

    Coordinates and support staff participation to events across Canada  

  •  

    Keep updated the GMF approved project slides and Outreach templated presentations for all sectors in collaboration with the event teams. 

  •  

    Extrapolate Outreach data across many platforms and sources and integrate the GLMS database, as required 

  •  

    Ensures the tracking of all outreach data related to events participation in Adaptation and Community Canopies programs

  •  

    Support clients in troubleshooting the portal and database systems during program delivery (e.g., pre-applications, adding contacts, creating accounts etc.)

  •  

    Systematically identify missed opportunities for data collection around contact and lead generation that exists within current event process and find tools and methods to mitigate this issue and overall improve in this area

  •  

    Collaborates with other GMF units to ensure coordinated and effective promotional activities, to keep up to date with information related to GMF offer, tools and knowledge products, and to disseminate information and contacts gathered from event participation.  

  •  

    Occasionally, attend trade shows, conferences and events to support staff to promote GMF and its programs.

You bring:   

 

Education:

  • Post-secondary education in Administration, communication,, Marketing or related field  

Experience:  

  • Two years practical experience in a forward-facing role; event coordination experience an asset. 

Knowledge & Competencies:

  • Strong organization skills related to coordinating a variety of activities and projects.

  •  

    Excellent interpersonal skills with a strong focus on customer service.  

  •  

    Analytical and versatile, able to learn quickly, prioritize effectively under pressure and meet tight deadlines in a fast-paced environment. 

  •  

    Experience producing printed and electronic promotional materials an asset. 

  •  

    Strong knowledge of business support processes and tools, computer business applications (Microsoft Office suite) and databases (Asana an asset). 

  •  

    Understanding of the municipal context in Canada is a strong asset.  

  •  

    Bilingualism (French and English) is a strong asset for this position.
